If an employer uses a payroll service, employees may be able to view their Form W-2 by logging into their account, according to ADP. Employers must mail or hand-deliver a copy of the form by the end of January each year. ADP does not provide access before this date.
If the employer is a participating TurboTax W-2 partner, employees may import information directly into their return by using the company’s software, according to TurboTax AnswerXchange. Information should be available by the beginning of February. To access the information, the filer needs his Employer Identification Number, as well as login information set by the employer, which is sometimes just his Social Security number.
Some employers participate in an early access program, according to H&R Block. The tax preparation service offers clients the ability to have an early electronic copy of the form sent to a local H&R Block office. This allows employees to file their income taxes early and helps speed the process of receiving the refund.
The Internal Revenue Service provides copies of a previous year's Form W-2 on request, when a taxpayer uses Form 4506 to order a copy of his entire tax return; however, the copy is sent by mail, according to the IRS. There is a fee for the service, and it takes up to 75 days to receive the copy. The IRS recommends contacting the employer first for a copy of the form.
