Announcements of departing employees are usually handled though internal memos or e-mails, rather than traditional letters. However, they can often take the form of traditional professional letters due to the delicate nature of the subject, as often times it is left intentionally ambiguous on what grounds the employee is departing. . employee while still informing the rest of the organization that the position is vacant (and therefore probably going to be filled).The announcement usually contains two parts: relevant information concerning the departure, including the employee's name and date that he or she left, which is followed by other extraneous information such as management's feelings on the matter and where the employee is departing to, if anywhere. This often takes the form of two short, succinct paragraphs.The first paragraph, as mentioned, contains information concerning the employee's departure. This can be as little or as much as management wishes. Examples of information include: The length of the employee's tenure at the organization, the date that the employee has left the organization, the employee's position or job title, and other empirical facts.The second paragraph is handled a bit differently from the first. It can contain management's thoughts on the departure of the employee and congratulations or kudos if the employee is moving on to a better position elsewhere. It may also contain a brief list of the employee's accomplishments while with the organization, as well as contact information if the employee wishes to stay in touch with his or her former co-workers. This last part, however, is usually only added if the employee is leaving the organization on good terms.Special consideration is given if the employee was terminated or departed on bad terms (perhaps to a competitor, or quit under duress).
